WEBINARS TERMS & CONDITIONS

1. REGISTRATION 

Bookings for CPE Webinars can only be made online through the MIA website. Bookings by telephone or email are not accepted.


The price-tiers applicable to face-to-face courses apply also to CPE Webinars. The same applies for Payment and Billing Details.


A confirmation email will be sent to the participant upon completion of booking and payment. A copy of the invoice will be emailed to the participant once payment is done.


One day before the session, an email will be sent to you to register for the CPE webinar. By registering, consent is given for application details to be provided to the webinar platform to set up the meeting. During this registration process, you will be requested to enter your email address. It is important that:
•  The email address entered into the registration form will be the same one used to log into the MIA website;
•  The mailbox of this email is accessible. Otherwise, it is advisable to change the email address via the MIA website.

On the day of the event, you will receive an email with the link to be able to join the CPE Webinar. It is prohibited to share this link with other friends or colleagues.
Participants accessing the webinar in an unauthorised manner will be liable for payment.

2. REQUIREMENTS FOR PARTICIPATION IN LIVE WEBINARS


Participation in a CPE Webinar requires the following:
•  Uninterrupted high-speed internet access;
•  Adequate bandwidth;
•  PC/laptop/phone/tablet fully charged or connected to a power supply;
•  The webinar’s software application;
•  Headphones / Speakers; and
•  Email with the link to join the CPE Webinar.

3. REGISTRATION AND STARTING TIME OF THE CPE WEBINAR

Participants would be able join the CPE webinar 15 minutes before the scheduled start time. Early registration is highly recommended as participants must check and ensure that the requirements listed above are properly functioning. It is advisable to choose a quiet spot, mute your phone and close any applications running in the background of the device being used.


Unless for any reason beyond the MIA’s control, CPE webinars will start on time. In this regard, participants are requested to respect punctuality and register as early as possible.


Failure to register on time will mean that you may not be able to join the CPE Webinar later.

4. ASKING QUESTIONS DURING WEBINAR

During the session, questions can be raised via the Chat function. There will also be a Q&A session at the end, where participants will have the option to speak up and ask questions.

5. TECHNICAL PROBLEMS EXPERIENCED BY PARTICIPANTS DURING A CPE WEBINAR

Such problems are to be IMMEDIATELY reported to the MIA via email on cpeevents@miamalta.orgParticipants who fail to report any technical problems experienced during a CPE Webinar shall not be entitled for a refund.

6. TECHNICAL PROBLEMS EXPERIENCED BY MIA

The MIA will be taking all the precautionary measures to ensure the session runs smoothly, however this does not exclude the fact that technical difficulties may still arise. In such cases, the MIA would do its utmost to get in touch with the participants and solve the issue as soon as possible.
Where the issue is beyond our control, such as in the case of a power cut, the Institute will do its best to reach the participants as soon as possible. In such case, the MIA may consider rescheduling the session for another time.

7. EVENT’S MATERIAL

This documentation will be made available for download. Access to download is restricted to participants who have booked and paid for the event. All presentations include a Disclaimer.

8. COPYRIGHT

The content of all CPE Webinars is the intellectual property of MIA. It may be used exclusively by the registered participant to whom they were made available. In particular, publication even if only in part, reproduction, distribution and editing are prohibited as is the recording of an event in audio or video or by means of screenshots. Legal proceedings may be initiated in the event of any misuse. The participant agrees to respect copyright and only use the CPE webinars for his/her own use.

9. CANCELLATION & REFUND POLICY

A participant who is unable to attend a booked and paid event can: (a) cancel the booking as per below (b) transfer the funds to an upcoming event or (c) name a substitute participant to attend instead of him/her. 

Cancellations need to be initiated by the participant through the "My Events Registration" tab by not later than 2 days before the start time of the CPE Webinar. A cancellation confirmation email will be sent accordingly.


Cancellations submitted by not later than 2 days before the start time of the CPE Webinar will be fully refunded. The finance team will issue the refund accordingly.


It is not possible to initiate the cancellation after this stipulated period.

For CPE Webinars (a) carrying with them any discounts or offers or (b) where group bookings are allowed: Cancellations are not refundable.

Participants who are unable to join the CPE Webinar due to health reasons are requested to inform the Institute in writing by not later than 8:00AM of the CPE Webinar’s date. Such participants are entitled to a full refund at the MIA's discretion.

Participants who do not join the CPE Webinar(s) are not entitled to any refund.

Refund requests based on reported technical problems will be assessed on a case-by-case basis and the refund remains at the MIA’s discretion.

Refunds are processed internally. Refunds will be made in the same method of payment used at the time of booking.

An email will be sent to the participant once the relevant refund is issued.

10. TRANSFER THE AMOUNT PAID TO ANOTHER EVENT

A participant who is unable to attend an event can transfer the paid amount to an upcoming course. In this regard, the participant is requested to send an email by not later than 2 days before the start time of the event which cannot be attended to cpeevents@miamalta.org noting the following information:
•  Name, Surname and ID card number; and 
•  Title of event he/she would like to attend.

Transfer of booking and funds will be done internally. Should there be a difference in the registration fee:
•  MIA will issue a refund of the difference (if the fee of the second event is less than the first one)
•  The participant is requested to settle the difference (if the fee of the second event is more than the first one).

11. SUBSTITUTE PARTICIPANTS

A participant who is unable to attend an event can name a person of a substitute participant to instead of him/her. In this regard, the participant is requested to send an email by not later than 2 days before the start time of the event which cannot be attended to cpeevents@miamalta.org noting the following information:
•  Name, Surname and ID card number of the participant; 
•  Title of event he/she is unable to attend; and 
•  Name, Surname, ID card number and Email address of the substitute participant. 

Transfer of booking and funds will be done internally. Should there be a difference in the registration fee:
•  MIA will issue a refund of the difference (if the registration fee of the substitute participant is less)
•  The substitute participant is requested to settle the difference (if the registration fee of the substitute participant is more).

12. PROGRAMME CHANGES

It may be necessary for reasons beyond the Institute's control to change the content and timing of the programme, the speakers or date at any time prior to the CPE Webinar without notice.

13. CPE HOURS & PROOF OF ATTENDANCE

For a participant to be eligible for CPE hours, he/she must attend:
A minimum of 75% of the session where the duration of the session is up to 1 hour; and
A minimum of 50% of the session where the duration of the session is longer than an hour.
Pro-rata hours will apply when the participant fails to attend the full session. In such circumstance, the CPE hours will be calculated in quarter-hour increments (rounded to the nearest quarter of an hour).
Full hours will apply when the participant attends the full session or leaves the session up to a quarter of an hour before the scheduled end time.
CPE hours awarded will depend on the number of attended hours. Time prior to the start of the CPE webinar does not qualify for CPE. Joining the CPE webinar past its starting time, leaving the session ahead of time and being unable to follow due to technical problems will all impact the number of attended hours.
A written declaration confirming the number of attended hours will be issued in the form of an email up to one week after the session. This is to be kept for CPE records purposes.

14. EVALUATION FORM

The participants are requested to fill in and submit the event’s evaluation form which is sent to them via email after the event This aims to provide feedback on the event and assist the Institute in improving its service.

15. CPE RELATED QUERIES

16. DATA PROTECTION

Refer to the MIA Privacy Notice for CPE Events.

The webinar platform includes a feature that allows the webinar to be recorded and the MIA may opt to use this functionality. By joining a session, you automatically consent to such recordings. If you do not consent to the recording, please contact MIA to discuss your concerns in good time prior to the CPE webinar session.
